Summary

I, Jennifer Baldwin (owner and sole employee of Jennifer Baldwin LLC) respect the EU’s General Data Protection Regulation (GDPR), and this policy explains how I collect and treat any information you give me. You won’t find any complicated legal terms or long passages of unreadable text. I have no desire to trick you into agreeing to something you might later regret.

Why I Value Your Privacy

I value your privacy as much as I do my own, so I’ve committed to keeping your personal and business information safe. I’m uncomfortable with the information companies, governments, and other organizations keep on file, so I ask for only the bare minimum from my clients. I’ll never use your personal information for any reason other than why you gave it, and I’ll never give anyone access to it unless forced to do so by law.


How I Collect Information

I ask for contact information including your name, email address, and phone number, on my website so that I can reply to your inquiry.

My website doesn’t use cookies or scripts that were designed to track the websites you visit. I don’t use native social media “Like” or “Sharing” buttons, which also build profiles of your internet activity.

I do, however, use Google Analytics to collect basic data on the countries from which my website visitors are accessing my website, the most popular pages on my website, and the web browsers they use. This information cannot be traced back to individual users, but rather reflects overall geographic and technological trends that I take into consideration when marketing my services and integrating new technology.

I collect your email address when you sign up for blog updates so I know where to send those updates. I ask for your contact information when you fill out and submit the contact form on my website so that I can respond to you.

When you order a translation or other language service from me, I ask for your contact information and billing information so that I can complete the service. I may also ask for information about your company for the purpose of terminology research, for the sole purpose of producing a quality translation or other text for you and/or your company.

Occasionally, I might receive your contact information from one of my partners or a translation colleague. If this happens, I protect your information in exactly the same way as if you gave it to me directly.


What Information I Hold

When you contact me by email, telephone, or through my website, I may collect your name, email address, phone number, and the company you work for.

If you sign up for blog updates, I only collect your email address.

When you buy a service from me, I collect your name, email address, phone number, and delivery instructions. I also collect your business name and keep records of the invoices I send you and the payments you make. If instructed by you, I may also collect additional information that you have instructed me to include on my invoices to you, such as job numbers, PO numbers, and VAT numbers.

All purchases are processed by check, PayPal, Wise, or bank transfer, and I never have access to your banking information, except as indicated on your check, PayPal username, or bank transfer information.


Where I Store Your Information

When you contact me by email or through my website, I store your information in Microsoft Excel and Google Sheets. If you sign up for blog updates, I store your email address on Wix.com. When you buy a service, your information is stored on my hard drive, and I store your information in my accounting spreadsheets. If you give me information to connect to your FTP server or other online file transfer system, I store your information in FileZilla or my hard drive.

I chose these systems partly for their commitment to security.

Is Your Information Transferred Internationally?

My servers are located in the United States. If you are accessing my Sites and services from outside the United States, please be aware that your information may be transferred to, stored, and processed by me in my place of business and by those third parties with whom your personal information may be shared, for the strict purpose of providing translation and language services for you.

What I Use Your Information For

I occasionally use your contact information to send you details related to my services. When I do, you have the option to unsubscribe from these communications, and I won’t send them to you again. I might also email or phone you about my services, but if you tell me not to, I won’t get in touch again. I will use your information to send you quotes, invoices, statements, or reminders.

Who’s Responsible for Your Information at My Company

Who Has Access to Information About You

When I store information in my own systems, only the people who need it have access. I have access to everything you’ve provided, but individual employees (if any) and/or subcontractors (if any) have access to only what they need to do their job.

The Steps I Take to Keep Your Information Private

Where I store your information in third-party services, I restrict access only to people who need it. I operate using a virtual private network, which creates an encrypted tunnel that hides internet traffic from service providers and hackers.

The computers I use are all protected by a passcode. These computers ask for authentication whenever they’re started or after 5 minutes of inactivity. My mobile devices are also protected by a personal identification number (PIN).
